Making AI everyday: How small steps lead to big shifts
When businesses start using AI, the first instinct is to look for productivity gains – faster reporting, fewer manual tasks, quicker responses. Those benefits are real, but they’re only the beginning. The real opportunity lies in building confidence, curiosity, and capability – teams who know how to use AI effectively, where it can add value, and when to rely on human judgment instead.
AI shouldn’t be measured only by how many hours it saves, but by how it changes the way people think about work. When team members start asking “Could AI help with this?” instead of “Do we have time for that?”, you know it’s becoming part of your business DNA.
For small and medium-sized businesses, the key is to start small but start now. Choose one area where time is lost to repetitive work, like quoting, reconciling, scheduling, and test how AI could help. Focus on learning as you go: what works, what doesn’t, and what could be improved. Share those stories with your team and peers so everyone learns together. The value isn’t just in using new tools; it’s thinking differently about how work gets done.
At MYOB, we call this approach AI Everyday, helping people build AI habits in real, practical ways. Every team member is encouraged to identify two workflows they can redesign with AI, then share what they learned. This grows confidence, community, and a mindset of experimentation, all essential for lasting innovation.
So, what does ‘good’ AI look like? It’s useful, trusted and human-centred. It should make life easier – whether that’s speeding up a process, uncovering insights, or giving time back to focus on what matters most. Behind the scenes, effective AI means secure data practices, clear governance, and people who know when to trust the AI and when to challenge it. Understanding AI’s opportunities is vital but so is recognising its limits.
Leaders play a critical role. The best way to encourage AI use is to model it. Use AI in your own work and talk openly about what you’re learning, the wins and the missteps. Create space for your team to experiment without fear of getting it wrong. Recognise curiosity and reward experimentation. The goal isn’t perfection – it’s progress and confidence.
For small businesses, success with AI isn’t just about choosing the right software, it’s about building the right mindset, skillset, and toolset. That means developing the curiosity to keep learning, the skills to use AI safely and effectively, and the right tools to make it practical in your business. Make sure your information is accurate and well-managed, and that your team understands the guardrails for responsible use.
One of the biggest watchouts for smaller businesses is falling for the hype. It’s easy to get caught up in shiny new tools that don’t solve real problems. The best AI projects start with a clear purpose: “What’s slowing us down?” or “Where can we create a better experience for customers?” The simpler the goal, the faster you’ll see value.
At MYOB, we measure AI progress through three lenses:
Confidence: Are people comfortable using AI in their work?
Connection: Is AI becoming a natural part of how we collaborate and solve problems?
Creativity: Are we uncovering new ways to work or serve customers?
AI should empower people, not replace them. It’s there to take care of the repetitive so humans can focus on the remarkable.
In the end, productivity metrics tell you where you’ve been. Confidence and creativity tell you where you’re going. The businesses that thrive won’t be the ones with the most technology, but the ones with the mindset, skillset and courage to keep learning as they go.
